This engagement outlines the end-to-end digital transformation of a waste management and dumpster rental enterprise. Prior to our intervention, the client relied entirely on a shared Google Sheet accessed via mobile devices for day-to-day operations. This unmanaged flat-file approach resulted in severe data concurrency issues, accidental data overwrites, a lack of role-based security, and manual revenue leakage.
Arc Transformation designed and deployed a comprehensive, relational data architecture utilizing the Microsoft Power Platform. The solution decoupled front-end user interfaces from back-end data, automated critical financial calculations, and established strict governance protocols for field operations.
II. Functional Architecture & Solution Design
To eliminate flat-file data corruption, the legacy spreadsheet was replaced with a centralized Microsoft Dataverse backend, establishing a single source of truth and enforcing strict data typing.
To solve the security limitations of all employees accessing a single master spreadsheet, a multi-app strategy was deployed to enforce separation of duties:
Administrative Dispatch Hub: A pc-optimized application functioning as the control center for back-office operations, fleet oversight, and financial reconciliation.
Driver Navigation App: A tablet-optimized application designed strictly for field workers. Drivers are restricted to route-critical data and mobile timecards, preventing accidental modification of core financial records.
Order Management App: A mobile-optimized application, enabling rapid order adjustments and direct customer communication for dispatchers.
III. Process Re-engineering & Automation Logic
Legacy manual touchpoints and spreadsheet formulas were replaced with Power Automate cloud flows to ensure consistent execution and accounting readiness.
Revenue Capture & Financial Accuracy: Engineered dynamic, system-level calculations to automatically trigger exceptions for delayed pickups. This prevents field agents from manually overriding or miscalculating late fees.
Payroll Automation: Re-engineered the manual timesheet audit process by automating the consolidation of driver hours for direct payroll processing.
Operational Intake & Routing: Automated the intake pipeline and standardized route execution by auto-generating geolocation data for field agents.

Auditability & Dispute Resolution: The architecture mandates image uploads (drop-off, pick-up, and dump receipts) directly to the order record. This provides indisputable visual proof of service and heavily mitigates risk during customer billing disputes.
Labor Security Guardrails: Deployed a dedicated security entity requiring PIN validation for driver clock-in/out events, ensuring the integrity of timecard data prior to payroll.
UAT & Operational Readiness: The segregation of distinct fee variables (Tires, Appliances, Fuel) within the order record allowed for precise User Acceptance Testing (UAT) to ensure accurate general ledger mapping during the billing cycle.
